What the times mean
- Every event is at least 3 hours, from your start time to your end time. Setup and teardown are extra and never count toward it.
- Day, Monday–Friday: by the hour, 8 AM–5 PM.
- Day, Saturday and Sunday (The Colab): one block, 8 AM–4 PM, then by the hour to 5 PM.
- Evening: one block, 5 PM–10 PM. An event that runs past 5 PM buys the whole evening, plus each earlier hour. A later finish to midnight is by the hour.
- Full day (The Colab): 8 AM–10 PM. When your hours would cost more as separate blocks and the whole day is free, the price uses the full day instead, and says how much less it is.
- Setup is the free hour before your purchased Rental Period, and teardown the hour after it; the quote shows the exact setup, teardown and access times. When a package covers more hours than your event, the quote shows that too.
The Patio: Coming soon. It can't be booked online yet.
- Need a different day, time or setup? Send a custom request.

- Need several days in a row? Book each day; your details carry over.
Your price
Guests leave by your event's finish; vendors and equipment by the teardown deadline above, and access is only during the access hours. Amplified music and sound stop at 9:30 PM, even with a later finish. If you move your booking, the calculation is shown first and the original stays until the change is secured. Refunds due are started within 5 business days; your bank may take longer to show them.
Member and virtual office discounts are applied automatically once your email is confirmed. Discounts do not combine; the larger one is used.
Nothing is held or charged yet. Next: confirm your email, tell us about your event, then review, accept the Rental Agreement and pay.

About your event
Booking as .
So we can tell you which documents your event needs (article 8). This does not hold anything up: your booking is confirmed when your payment is, and we follow up afterwards.
A caterer, bartender, DJ, photographer, rental company or another event supplier. Choose None if you won't bring any.
The business name, if you know it yet. Each vendor sends us a certificate of insurance before the event.
What your event needs, from these details
Documents are due seven days before your access begins if you book more than seven days ahead; otherwise promptly after booking, and received and checked before access begins. After booking our team confirms anything outstanding and anything that follows from details added or changed later. Booking and payment do not waive these requirements, and your booking does not wait for them.
Review and pay
Check the price, read the Rental Agreement to the end, then accept and pay. We hold your date for about 30 minutes while you pay.

1. The parties, and what makes a booking
This Rental Agreement (the "Agreement") is between you, the person or organisation named in the acceptance at the end (the "Renter"), and The Colab, LLC, a California limited liability company ("The Colab," "we," "us"), which operates the venue at 122 South E Street, Exeter, CA 93221 (the "Premises").
Your booking is confirmed when the date, times, space and total price have been confirmed to you in writing — on our booking page before you pay, or in a Booking Confirmation we send you — you have accepted this Agreement, and your full payment has been confirmed. A payment still processing does not confirm the booking. If a payment reaches us for a date we can no longer hold for you (for example because the time allowed for payment ran out), or completes less than 24 hours before your setup hour would begin, the booking is not confirmed and we refund that payment in full. We will tell you when your booking is confirmed.
The written confirmation of your booking — the date, the times (your setup, event and teardown hours), the space, the price and anything we have specifically agreed — is part of this Agreement (the "Booking Confirmation"). Where the Booking Confirmation and this Agreement say different things about your particular booking, the Booking Confirmation wins.
Where online booking is offered, a booking can be made at least 24 hours before your setup hour begins and no more than 180 days ahead. For other dates, contact us.
2. What you are renting
You are buying a licence to use the space named in your Booking Confirmation for the hours named there (the "Rental Period"), together with the event (the "Event"). It is not a lease and not a tenancy: you do not get exclusive possession of the building, you do not become a tenant, and no interest in the Premises passes to you.
Your Booking Confirmation names what you have hired: The Colab, which is every room upstairs; The Patio; or The Colab with The Patio added. Anything it does not name stays in use by members and by us — in particular, a hire of The Colab does not include The Patio unless The Patio is added to it. A hire of The Patio on its own is The Patio only: it does not include the restrooms, the kitchen or any other part of the building, and you and your guests come and go by The Patio's own gate, unless your Booking Confirmation says otherwise. We will not put another event into a space you have booked for the hours you have booked it.
The Patio is available for booking only when shown as available by The Colab. A mention of The Patio in this Agreement does not mean it is currently available.
The licence is personal to you. You may not transfer it, sell it, or let someone else hold your date.
3. Your hours, and what is included
Your Rental Period is the block of hours you purchase, stated in your Booking Confirmation. Where your event runs past 5 PM, the Rental Period includes the whole evening block you have bought, so it can be longer than your event. One hour before the Rental Period, for setting up, is included at no charge and reserved for you, and one hour after it is reserved for teardown; standard cleaning afterwards is included. Where your Rental Period ends at midnight, your teardown runs to 1 AM the following day. Wi-Fi, the display, and the tables and chairs already in the room are included.
The Booking Confirmation states your event hours, purchased Rental Period, setup hours and teardown hours separately. Your event may occupy only part of a purchased block. Guests must leave by the stated event finish, and vendors and equipment must leave by the stated teardown deadline. Access is permitted only during the confirmed access hours.
Everything else — catering, bar service, additional furniture, decor, audio equipment, staffing — is yours to arrange, at your cost, within the rules in articles 6 to 9.
Guests and vendors may not arrive before your confirmed access hours begin, and nothing may be delivered to the Premises before that time unless we have agreed it in writing.
4. Ending time
Events end at 10:00 PM unless a later finish has been agreed under this article. Guests must leave by the event finish stated in your Booking Confirmation, and vendors and equipment must leave by the teardown deadline it states: one hour after the end of your Rental Period, which is 11:00 PM for a Rental Period ending at 10:00 PM and 1 AM the following day for one extended to midnight.
Amplified music and amplified sound must stop at 9:30 PM, including where a later event finish has been agreed. Purchasing an extension does not extend this sound deadline.
A later finish, to midnight, is available at $125 an hour, which is not discounted, and must be agreed in writing at the time of booking — on our booking page or in your Booking Confirmation. We do not agree extensions on the night, and a request made during the Event is not an extension however it is phrased.
There are neighbouring premises below and around us, and the ending time is how the venue keeps working for everyone. If guests have not left by the stated event finish, or vendors and equipment by the stated teardown deadline, we may charge the extension rate for each hour or part of an hour beyond it, and we may charge any cost we incur as a result.
5. What you pay, cancellation and refunds
5.1 Full payment at booking
The full rental price shown in your Booking Confirmation is payable when you book. It includes a $25 booking fee; that fee is part of the total, not an additional charge. There is no separate booking deposit or later rental balance.
The rental price is separate from the damage authorization in article 6 and any separately agreed extras.
5.2 Booking fee
The $25 booking fee is retained when you cancel under article 5.3. It is refunded when The Colab cancels for a reason within our control under article 5.5. Article 11 governs cancellation for circumstances outside either party’s control.
5.3 If you cancel
You may cancel through the booking-management link we provide or by written notice to [email protected].
If we receive your cancellation at least 14 days before the Event’s scheduled start, we refund the rental price you paid less the $25 booking fee.
If we receive your cancellation fewer than 14 days before the Event’s scheduled start, we retain 50% of the agreed rental price plus the $25 booking fee and refund the remainder. The retained amount cannot exceed the rental price paid.
For example, a $650 rental paid in full results in a $625 refund for an early cancellation or a $300 refund for a late cancellation.
Where nothing was payable for a booking (a 100% promotional code), there is nothing to refund or retain if you cancel.
These calculations apply to the agreed rental price after any applicable discount. Treatment of separately purchased extras must be stated in the Booking Confirmation.
“14 days” means 14 consecutive periods of 24 hours before the Event’s scheduled start. The Booking Confirmation states the exact cancellation cutoff in Pacific time. Cancellation received exactly at that cutoff qualifies for the early-cancellation refund. The Event’s scheduled start is the event start time stated in your Booking Confirmation.
5.4 Rescheduling
You may ask to move your Event to another available date or time for the same space. Where online rescheduling is offered you can do this through your booking-management link; otherwise write to us. A change is made only once you have accepted it, whether you make it yourself or we make it for you. Before you accept a change we show you the original price, the replacement price, any reschedule deduction or fee, the refund or payment due, and the cancellation cutoff that will apply.
The reschedule calculation is fixed until the expiry time shown in your quote, in Pacific time. You must accept the change and complete any required payment within that time. An expired quote must be recalculated before the change can proceed. Your original booking remains unchanged until the replacement is secured and any required payment is confirmed.
Before the cutoff. If the change is made at or before the cancellation cutoff in article 5.3: where the replacement costs less, we refund the difference less a $25 reschedule deduction, and never less than zero; where it costs the same, nothing is payable; where it costs more, you pay the increase.
After the cutoff. If the change is made after the cancellation cutoff, a reschedule fee of 25% of your current rental price applies to each change and is set against any difference in price; the $25 deduction does not also apply. For example, moving a $650 booking to a $500 date after the cutoff gives a $150 credit against a $162.50 fee, so $12.50 is payable. Where the price difference is larger than the fee, we refund the rest. Where the replacement costs more, you pay the increase plus the fee.
Reschedule deductions and fees are retained. They are not part of the rental price, do not increase it, and are not refunded if you later cancel (unless The Colab cancels under article 5.5): a later cancellation is calculated under article 5.3 on the rental price of your booking at that time. We may waive a fee or deduction at our discretion.
Moving the Event to a later date does not extend the original early-cancellation cutoff. Where the replacement date is earlier, the applicable cutoff is the earlier of the original cutoff and the cutoff calculated from the replacement Event’s start. Your revised Booking Confirmation states the applicable cutoff and the calculation.
5.5 If we cancel
If The Colab cancels for a reason within our control, we refund everything you paid for that booking, including the booking fee and any reschedule fees or deductions previously retained. If performance becomes impossible for a reason outside either party’s control, article 11 applies.
The specific provisions concerning alcohol violations, unsafe conduct and early termination in articles 7 and 13 are not replaced by this ordinary cancellation rule.
5.5A Refund processing
We initiate refunds due under this Agreement within 5 business days after the cancellation or reschedule is confirmed and the refund amount is established. Your payment provider or bank may take additional time to credit your account.
5.6 Discounts
Members receive 10% (Connect), 15% (Create) or 20% (Collaborate) off the eligible rental amount, according to their membership tier. Customers with a current virtual office receive 10%. Eligibility is checked by us when you book.
Any applicable discount is shown before payment. Discounts apply to the eligible rental amount, excluding the included $25 booking fee and extension charges. Discounts do not combine; where more than one applies, the highest eligible discount is used. The confirmed price is not changed by a later change in membership or eligibility. We may also issue a promotional code; a valid code entered when you book is a discount under this article. A promotional code we issue for 100% of the rental price also waives the booking fee and any extension charge, so nothing is payable for that booking; the card-on-file authorisation in article 6 still applies, and the booking is confirmed once that card is saved. Any other discount, including a code for less than 100%, excludes the booking fee and extension charges as stated above.
5.7 Extras
Anything added during or after the Event—including an agreed extension, coffee service, additional cleaning or damage under article 6—is charged or invoiced under the applicable provisions of this Agreement and is payable within 14 days. Ordinary cleaning remains included.
6. Damage, cleaning, and the card on file
There is no separate damage deposit to pay. Instead, you authorise us to keep a payment card on file (the card you pay for your booking with, saved securely by our payment processor, Stripe) and to charge it, after the Event, for damage to the Premises or its contents and for cleaning beyond ordinary cleaning.
That authorisation is capped: $250 for an event where no alcohol is present, and $500 for an event where alcohol is present. The cap limits what we may charge the card on file under this article. It does not limit what you owe us for damage that costs more than the cap, which remains recoverable. An automatic payment under this article never exceeds the cap. If a statement is for more than the cap, we charge up to the cap automatically and send you a payment link for the rest, payable within 14 days.
Your responsibility. Normal wear, and minor mishaps that leave nothing needing repair or replacement (a spill that wipes up, an ordinary scuff), cost you nothing. If you, or anyone you bring in, cause damage beyond normal wear, you are responsible for the reasonable, documented cost of repairing it, even if it was an accident. Where repair is not reasonably practical, we may charge a reasonable replacement cost that accounts for the item’s age and condition.
The statement. We document damage with dated photographs and a written explanation, and an owner reviews the evidence. We then email you an itemized statement showing the amount, the reason, the evidence, a link to pay, how to contact us with questions or to dispute, and the response date. We do not charge for pre-existing damage, ordinary wear, or damage where responsibility is unclear.
The response date. The response date is 14 calendar days after the statement is delivered, counted in Pacific time. A statement is delivered when it is sent to the email address on your account and is not returned as undeliverable. If it is returned, we send it another way, and the 14 days start again from when that delivery is made.
Paying early. You can pay at any time before the response date using the link in the statement. If you do, nothing further is charged.
Automatic payment. If by the response date you have neither paid nor disputed the statement, we will charge the stated amount to your saved card on or after that date. At least 3 days before the charge, we email you a reminder with the amount and the date. We email you a receipt after it. If no card is saved, or the charge is declined or needs your authorization, we email you a payment link instead, payable within 14 days. Not responding does not mean you agree with the charge or give up any rights.
Disputes. To dispute, reply to the statement email, email us or call us before the response date. While we review it, we will not charge your card or send payment requests or reminders. We then email you our findings. If we find you are not responsible, the statement is cancelled and nothing is charged. If we find you responsible for a lower amount, the original statement is cancelled and we send a revised statement for that amount. Only the amount we find due is charged, on the later of the original response date or 7 days after we send our findings. If that would give you less than 3 days’ notice, the charge date moves so you get the full reminder.
After a payment or charge. You can still dispute a damage payment within 60 days after it is made, in the same ways. If we find any amount was charged incorrectly, we refund it to the card within 10 business days of our findings. This does not affect any rights you have with your card issuer.
No double charges. Each statement is collected once. Paying early cancels the automatic payment, and a revised statement replaces the original.
Ordinary cleaning after an ordinary event is included and is never charged.
Charges for cleaning beyond ordinary cleaning follow the same statement, response date and dispute process as damage under this article, and are subject to the same cap.
You are responsible for the Premises and its contents during your Rental Period, for the acts of everyone you bring — guests, vendors, staff and contractors — and for leaving the space in the condition you found it, less ordinary use.
7. Alcohol
Alcohol is permitted at the Premises only in accordance with this article and only within the Rental Period.
7.1 Service by a licensed professional. Except as article 7.2 allows, all alcohol must be served by a licensed, insured professional bartender or caterer engaged by you, who is RBS, TIPS or ServSafe certified and carries liquor liability insurance at the limits in article 8, naming The Colab, LLC as additional insured. There is no self-service and no unattended open container.
7.2 Small private gatherings. A private gathering of 25 people or fewer, at which no alcohol is sold and no cover, ticket or admission is charged, may bring and serve its own alcohol. We may withhold this exception for any booking, and where we do we will say so at the time of booking.
7.3 Selling alcohol. You may not sell alcohol, or charge a cover, ticket price or donation conditioned on alcohol, without our prior written approval and the appropriate California Alcoholic Beverage Control licence or permit. Required licensing documents must be delivered by the deadline stated in your Booking Confirmation and checked before the activity begins. Payment or booking confirmation does not authorize alcohol sales.
7.4 Service standards. Wherever alcohol is served: food is available throughout, service stops 30 minutes before the end of the Rental Period, nobody under 21 is served, and you are responsible for your guests and for verifying age.
7.5 Our discretion on the night. We may stop alcohol service, refuse service to a particular guest, or end the Event, at any time and at our discretion, without refund. This is stated in advance so that it is not an argument at the time.
7.6 Breach. A breach of this article ends the rental immediately. Sums paid are retained and the authorisation in article 6 applies.
8. Insurance and vendors
8.1 Vendor certificates. Every third party working your Event provides us with a certificate of insurance — caterers, bartenders, DJs and musicians, photographers bringing lighting or rigging, florists and decorators installing, rental companies, and anyone working with open flame, heat or a ladder.
8.2 Your own policy. You must carry your own special-event policy where any of the following is true: alcohol is present; attendance exceeds 40 people or half the posted occupant load, whichever is lower; the Event is ticketed, public, or publicly promoted; minors are the primary audience, or there is physical activity or equipment; or the contract value exceeds $1,000.
8.3 Limits. Policies under this article carry at least $1,000,000 per occurrence and $2,000,000 aggregate, name The Colab, LLC as additional insured, and — for anyone serving or selling alcohol — carry liquor liability at the same limits.
8.4 Required documents. You may book and pay while required event documents are outstanding. Before payment, we show the requirements identifiable from your event details. Staff will then confirm outstanding documents and any additional requirements arising from information supplied or changed after booking. Booking and payment do not waive those requirements.
Required documents are due 24 hours before first access. If you book less than 24 hours before first access, they are due as soon as possible after booking and before first access. If your booking is rescheduled, the deadline moves with it to 24 hours before the new first access. The Booking Confirmation states the applicable deadline.
A missing or late document does not by itself cancel your booking or stop your Event. We will contact you about anything outstanding, and article 8.5 applies.
8.5 Missing or insufficient documents. If required documents are missing or insufficient, we will tell you what is needed. We may prohibit the affected vendor or activity, or withhold access, only where that vendor, activity or the Event cannot lawfully or safely proceed without them, or where our insurer or the law requires it. In those circumstances we may also cancel the booking.
Where cancellation results from your failure to meet a disclosed document requirement, the customer-cancellation rule in article 5.3 applies, subject to applicable law. Where cancellation is within The Colab’s control, article 5.5 applies.
8.6 Our insurance is ours. The Colab's policies do not insure you, your guests, your vendors, or anyone's property.
8.7 A certificate is not an endorsement. We do not select, approve or supervise your vendors, and accepting a certificate does not mean we have.
Certificate holder and additional insured: The Colab, LLC, 122 South E Street, Exeter, CA 93221.
9. Using the Premises
You agree that during your Rental Period you and everyone you bring will:
- Stay within the occupant load posted at the Premises, and within any headcount stated in your Booking Confirmation.
- Keep all exits, stairways and corridors clear at all times.
- Not smoke or vape anywhere on the premises, including the patio.
- Not use open flame, pyrotechnics, fog machines, confetti or glitter without our prior written agreement.
- Not attach anything to walls, ceilings, glass or fixtures in a way that marks or damages them, and not move or remove anything belonging to The Colab or to its members without asking.
- Keep amplified sound at a level we ask for, and stop amplified music and amplified sound at 9:30 PM, including where a later event finish has been agreed.
- Treat everyone present, and anyone else in the building, with respect. Harassment, discrimination, threats, or behaviour that makes the Premises unsafe ends the Event immediately.
- Follow any reasonable instruction we give during the Event about safety, noise, capacity or the condition of the Premises.
The Premises may not be used for anything unlawful, and may not be used as a residence or for overnight stays.
Content on the main-room TV. When The Colab allows it, a booking of The Colab or the 16-seat table may include showing your own images, videos and presentations on the TV in the main room during your booking. You are responsible for everything you show. You confirm that you own it or have permission to use it, including any music, and that it is lawful and suitable for a shared business space where other members and the public may see or hear it. We may stop your content at any time, for the rest of your booking and without a refund, if we believe it breaks this section or disrupts others. We keep your files for 30 days after your booking and then delete them; you may delete them sooner. You agree to cover any claim made against us that arises from content you show.
10. Your property, and ours
Anything you or your vendors bring to the Premises is at your own risk. We do not insure it, we are not responsible for its loss or damage, and we have no obligation to store it.
Everything you or your vendors bring must leave by the teardown deadline stated in your Booking Confirmation. Anything left behind may be removed and disposed of after 7 days, and we may charge the cost of doing so.
Deliveries and collections must occur within your confirmed access hours unless agreed otherwise in writing. We will not take delivery of anything on your behalf outside those hours.
11. If something makes the Event impossible
If either of us cannot perform because of something genuinely outside our control — fire, flood, power failure, a public health order, a government restriction, a building closure, or damage to the Premises not caused by that party — neither of us is in breach.
In that case we will first offer you an alternative date within twelve months, on the same terms and at the same price. If no alternative date works for you, we refund everything you have paid other than the booking fee and any cost we have already and unavoidably incurred at your direction.
12. Risk, release and indemnity
You accept the ordinary risks of holding an event in a shared building — other people, stairs, food and drink, equipment, and the ordinary condition of a working venue.
Release. To the fullest extent permitted by California law, you release The Colab, its members, managers, employees and agents from any claim arising out of the Event or your use of the Premises, except to the extent it is caused by The Colab's own gross negligence or wilful misconduct.
Indemnity. You will defend, indemnify and hold The Colab harmless from any claim, loss, damage, penalty or cost — including reasonable legal fees — arising out of the Event, your use of the Premises, anything done by you, your guests, your vendors or your staff, or any breach of this Agreement, except to the extent caused by The Colab's own gross negligence or wilful misconduct.
Alcohol. Where alcohol is present, this indemnity extends specifically to any claim arising from its service or consumption, including any claim brought by a guest, by a third party, or by any authority, subject to the same carve-out for The Colab's own gross negligence or wilful misconduct.
Limit on our liability. To the fullest extent permitted by California law, The Colab's total liability arising out of this Agreement does not exceed the rental price you paid for the booking, and we are not liable for lost profits, lost opportunity, or other indirect or consequential loss.
13. Ending the booking early
We may end the Event immediately, and require everyone to leave, if there is a breach of article 7 (alcohol) or article 9 (using the Premises), if the occupant load is exceeded, if anyone present is placing people or the building at risk, or if a lawful instruction from a fire, police or public health officer requires it.
Where we end an Event for any of those reasons, sums paid are retained, the authorisation in article 6 applies, and no refund is due.
14. General
Electronic acceptance. You agree that accepting this Agreement online — by typing your name and confirming — is your electronic signature, and has the same effect as signing on paper, under the federal E-SIGN Act and California's Uniform Electronic Transactions Act. We keep a record of your name, email, the date and time, the IP address it came from, and the version of this Agreement you accepted, and we email you a copy.
Versions. This Agreement carries a version number. A change to the wording produces a new version; it does not alter an acceptance already recorded against an earlier one. The version you accepted is the version that governs your booking.
Governing law. This Agreement is governed by the laws of the State of California. Any dispute we cannot resolve together will be handled in the state or federal courts serving Tulare County, California.
Entire agreement. This Agreement, together with your Booking Confirmation, is the whole agreement between us about your booking. If any part of it is found unenforceable, the rest still applies. Neither of us waives a right by not exercising it straight away.
Notices. We will email you at the address in your acceptance. You can email us at [email protected], call (559) 594-8008, or write to The Colab, LLC, 122 South E Street, Exeter, CA 93221.
15. Acceptance
By accepting, you confirm that you are at least 18, that you have authority to enter into this Agreement on behalf of the Renter, that you have read it including articles 7, 8 and 12, and that you agree to it.
Acceptance comes before payment because your payment is made under these terms, including the cancellation and refund rules in article 5.
Scroll to the end of the agreement to tick the box, then fill in your details below.
Accept the agreement
Type your name to accept, then pay the price shown above in full by card. The $25 booking fee is part of that total. We hold your date for about 30 minutes while you pay, email you a copy of this exact version, and your booking is confirmed once your payment is confirmed.
Accepted — thank you.
Next: we'll send your Booking Confirmation — the date, times, space, total price and your exact cancellation cutoff in Pacific time — with the payment link for the full rental price. The $25 booking fee is part of that total, not an extra on top. Your booking is confirmed once your full payment is confirmed; a payment still processing does not confirm it.
Questions in the meantime: [email protected] or (559) 594-8008.
